Venue Sales Manager Job at Historic Elgin Hotel
The Venue Sales Manager must be friendly and outgoing and able to put others at ease. He/she will be a good listener and able to hear what prospects need. He/she must possess excellent written and verbal communication skills, a strong attention to detail, a high level of organization, and strong customer service skills. He/She must be flexible and adaptable and able to remain calm under pressure. A successful track record in sales is a must. Honesty and integrity are essential attributes and set examples for all staff and contractors. Professional appearance is required at all times when guests are on the property.
The Venue Sales Manager must meet the mental and physical demands of the job and share the owner’s passion for excellence, working under the guidelines of the owner and the policies and procedures set forth to promote the property to the community and its guests.
Primary Duties and Responsibilities:
· Provide exemplary customer service to all guests and vendors
· Understand and work toward achieving all business objectives created with the Hotel Proprietor
· Develop and market wedding packages to prospective clients
· Give tours to wedding prospects and other event prospects
· Close the sale with prospects that align with our offerings
· Serve as point of contact and wedding coordinator for on-site weddings and receptions
· Ensure that the venue and property is well maintained and organized
· Develop and execute an event schedule and marketing plan to achieve the Events and Venue Rental sales goals
· Oversee event planning and logistics by securing vendors; setting up reservations, marketing and sales systems; taking reservations; and marketing the event as needed
· Assist with setting up new systems and processes to support efficient venue sales and operations
· Set up all events on the Hotel’s website, Facebook page, and Eventbrite (as needed)
· Set up events, rate types, email confirmations in ThinkReservations
· Promote events using Constant Contact emails, social media, posters, Google ads, newspaper ads, and other sources of marketing
· Assist where needed with event planning and logistics
· Serve as the host and point of contact for all events until Event Coordinator is needed and hired
· Ensure that all vendors are paid fairly and on-time
· Develop and enforce agreements with event vendors
· Coordinate property usage with all vendors and the hotel management team
· Recruit and utilize support staff effectively by delegating tasks as needed to other hotel employees and contractors
· Provide leadership for the venue team
Physical/Mental Demands
The Venue Sales Manager will be required to make phone calls, send emails, and drive to appointments as needed. He/She may need to negotiate prices and develop and review contracts. Venue Sales Manager must be able to set up and tear down tables, operate a vacuum cleaner and steam mop, and perform other cleaning duties. He/she must possess the physical ability to lift bags of refuse, climb ladders, push and pull carts, lift laundry baskets and operate/move equipment.
The Venue Sales Manager will also be required to schedule and oversee staff assigned to events.
Minimum Qualifications:

· 2+ years of experience planning and coordinating events
· Experience managing or leading a team of people
· High energy and enthusiasm
· Willingness to learn and follow procedures and established techniques
· Able to learn and operate the cleaning equipment
· Able to learn new computer software with ease
Expectations & Goals:
· Assist with planning and executing no less than 2 events per month using a venue space at the Elgin and Parlour
· Book at least 20 weddings in the next year
· Book at least 10 retreats or business meetings in the next year
· 5-star reviews received from event attendees and venue rental clients
· Host events that achieve 100% guest room occupancy on weekend of event
Classification: Non-Exempt
Salary: $40,000-$55,000 including base pay +commission+ bonuses for meeting sales goals
Schedule: Flexible, able to work from home. Will require long days at the facility on event days.
