Front Desk Receptionist / Patient Coordinator for Medspa Job at Pure Harmony

We are seeking a friendly enthusiastic detail-oriented Receptionist / Patient Coordinator to join our team. We are a boutique spa catering to personal aesthetic plans and guiding clients to age on their own terms.

Your responsibilities include:

  • Warmly greeting clients as they arrive and check them in on the computer
  • Daily instagram post of services and/or products offered by the spa.
  • Assisting the client with any electronic documents not completed prior to arrival.
  • Checking clients out for the services received and products purchased.
  • Applying any relevant discounts to the purchase, such as our loyalty rewards program or current promotions.
  • Corresponding with clients via various platforms such as facebook, email, instagram to make sure all queries are answered.
  • Following processes to collect payment including cash, credit cards, gift cards, Brilliant Distinctions Rewards, Aspire Rewards, Care Credit, Groupon, etc.
  • Ensuring the client checkout process is completed accurately with strong attention to detail.
  • Rebooking clients for their next visit during checkout.
  • Follow established procedures to ensure the consistency of the client experience.
  • Ensure the highest standards of customer service are upheld to give our clients the best experience possible with professionalism, courtesy, and a smile.
  • Ensuring customers are fully satisfied with their service including call backs several days after service to check on progress.
  • Answering the phone, including answering common questions (products and services offered, directions, etc.) and scheduling or rescheduling appointments.
  • Opening and closing duties.
  • Keep the reception, waiting, and retail areas clean and organized.
  • Handling any customer concerns with empathy and grace.

Necessary skills:

  • The ability to calmly multi-task is essential. There are often people checking in, multiple people waiting to check out, and the phone is ringing all at the same time.
  • Strong computer skills are essential. We use many web-based computer programs in this role and you need to be able to learn them quickly and intuitively. This includes Clover, Aestheticspro, Alle points, Groupon, CareCredit, Word, and more.
  • Customer service skills are essential. We strive for our clients and our team to feel valued, appreciated, and respected at all times by taking a proactive, polite, and professional approach to all communication. This also requires excellent English verbal and written communication skills.
  • Experience:
  • med spa / dermatology / plastic surgery office front desk: 1 year (Preferred)
  • medical or high-volume front desk: 1 year (Preferred)

Work authorization:

  • United States (Required)
  • Answering and routing phone calls

Job Types: Full-time, Part-time

Pay: From $16.00 per hour

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekend availability

  • Jacksonville Beach, FL 32250: Reliably commute or planning to relocate before starting work (Required)

  • Medical receptionist: 1 year (Preferred)
