Referrals Coordinator Job at Piedmont Healthcare
JOB PURPOSE:
Under general supervision of the Senior Analyst, Access Services, responsible for launching a new centralized function to manage unspecified physician-to-physician referrals. Role includes daily operation of referrals including working referral workqueues, patient registration, scheduling, insurance information collection, and telephone management for all employed physician group. Including, but not limited to, planning, assigning and directing other staff to do the same duties, and requiring significant judgment in the application of established practice rules and procedures.
KEY RESPONSIBILITIES:
1. Referrals Management. Responsible for working unspecified physician-to-physician referrals and understanding optimized referral processes and workflows in Epic.
2. Section Management: Supervises the daily operation of the referrals staff; plans and schedules work activities ensuring proper distribution of work assignments and the utilization of personnel; conducts daily audits of operations to ensure that patient registration, scheduling, and insurance documentation has been conducted appropriately and efficiently; coordinates with practice staff to ensure for the timely and efficient flow of patients to the providers; reports all events that may adversely affect practice operations and recommends processes and procedures for improvement.
3. Training and Advocacy: Conduct monthly new employee training and refresher training for existing staff in our physician practices about referrals management, including workflows and operational checklists. Develop new training materials as needed.
4. Provider Preference List Maintenance: Support the maintenance of the Provider Preference List used for placing referrals. Identify errors and partner with the Epic team to resolve.
5. Compliance: Ensures compliance with all HIPAA policies specifically relating to patient confidentiality and release of information; maintains strict confidentiality on all patient information and practice
matters; remains current on HIPAA, OSHA, Infection Control, patient safety, and other mandatory regulations, standards, and organizational policies and procedures.
6. Communications: Communicates in a professional manner; demonstrates effective and appropriate oral and written communication skills with patients, staff, and healthcare providers; demonstrates an understanding of leadership principals through interactions with staff and healthcare providers.
7. Professional Development: Assumes responsibility for own professional growth by participating in continuing education activities and/or professional organizations; attends required meetings and services, and participates in committees.
8. Leadership: Responsible for the orientation of new and temporary staff; regularly assists with the planning and implementation of in-services and competency testing.
Requirements
MINIMUM EDUCATION REQUIRED:
High school diploma or equivalent and five (5) years of front office or related experience required.
OR
Bachelor’s degree in Business, Healthcare or related field and three (3) years of front office or related
experience required.
MINIMUM EXPERIENCE REQUIRED:
High school diploma or equivalent and five (5) years of front office or related experience required.
OR
Bachelor’s degree in Business, Healthcare or related field and three (3) years of front office or related
experience required.
MINIMUM LICENSURE/CERTIFICATION REQUIRED BY LAW:
None.
ADDITIONAL QUALIFICATIONS:
Must possess above average data entry skills.
Must have operational experience with physician practice scheduling and referrals management.
Epic Ambulatory experience preferred.
Experience with process improvement principles preferred.
