Payroll Tax Processor Job at Northern Virginia Community College
Some flexibility on start/end time and lunch duration but expected to work 40 hours each week.
This position is responsible for filing out of state taxes for at least 27 states, several local jurisdictions and several unemployment tax returns each quarter. Quarterly, will complete the Form 941 tax reconciliation and submit necessary payroll adjustment forms under tight deadlines. Each calendar year-end will make W-2 adjustments as needed. Other payroll processing related duties include creating pay files to upload to our payroll system, processing garnishments and assisting with audits.
Duties and Tasks:
- Generate and review bi-weekly/monthly/quarterly/ payroll reports.
- Analyze multi-state payroll data and performs calculations. Ensures that payroll information is reported to state and local agencies as required.
- Prepare, reconcile, and file monthly, quarterly and yearly payroll tax returns for out of state employees, including form 941, state withholding and state unemployment returns.
- Prepare quarterly payroll and tax adjustments as required to reconcile to tax filings. Prepare W-2 corrections and reissues as needed.
- Assist the payroll processing team with review and recording of payroll transactions, including investigation of payroll errors and necessary adjustments.
- Assist in preparing required payroll reports for year end, including payroll schedules covering payroll accruals, termination benefits and leave accruals.
- Monitor and maintain written documentation regarding payroll policies and procedures, process flows and internal controls.
- Assist in creating payroll files for upload into our payroll system.
- Process garnishment and other required accounts payable disbursements.
- Liaison with external and internal auditors for payroll related reviews.
- Perform regulatory compliance research to ensure local, state, and federal governmental requirements are met, such as taxes and withholding.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

- Ability to work under pressure and ensuring deadlines are met.
- Strong verbal and written communication skills.
- Strong abilities in Excel spreadsheet analysis and data management.
Minimum Qualifications:
- Associate degree or higher in Accounting or related field or a combination of education, training, and experience.
- Some experience in filing out of state payroll tax returns. Minimum of 2 years of experience is required in preparing payroll tax returns, tax research and payroll processing .
- Some experience in a high volume, multi-state payroll system
- A payroll background with in-depth knowledge of payroll procedures, tax legislation, accounting practices, and audit requirements.
- Bachelor’s Degree in Accounting or related field.
- Previous experience in higher education.
- Significant experience in preparing payroll tax returns, tax research and payroll processing experience.
- PeopleSoft/Oracle payroll system experience.
- Certified Payroll Professional.
