Job Summary

Oversees and facilitates all business and finance operations for the museum including accounts payable/receivable processes, collection of funds and deposits, expense reimbursements and account reconciliations. Analyzes data from various internal and external fund sources and summarizes the financial position of the department. Prepares, administers and oversees the annual budget. Works with the Director to develop strategic financial planning, analysis, preparation and decisions for multiple fund sources.

  • Analyzes all museum financial data from the various internal/external fund sources and prepares monthly financial reports for each fund source and summarizes the financial position of the department for the Director. Works with the Director to develop strategic financial planning, analysis, preparation and decisions for multiple fund sources.
  • Prepares monthly rolling forecasts to track current expenditures in relationship to the annual budget plans. Prepares cost projection financial analysis for exhibitions/programs and processes and tracks exhibition/program expenses that utilize various funding sources.
  • Organizes the preparation, administration and oversight of the department's annual budget. Interacts extensively with various departmental areas for budget development and tracking. Compiles budget information and submits figures into the University's PantherSoft Financials system.
  • Monitors all budgeted funds and requests additional budget as needed and clears budget exceptions. Develops and prepares a detailed response to explain any budget variances throughout the year.
  • Implements, oversees and administers point of sale plans for all departmental revenues including donations/fundraising, event admissions, memberships, merchandise, etc. Maintains supplies and equipment necessary for point of sale items. Works closely with Visitor Services/Events Coordinator on this.
  • Works with various museum staff on a variety of matters that pertain to budget and finance, human resources, grants and fundraising. Interacts extensively with internal and external individuals and organizations on budget and finance-related matters.
  • Enters all payables and receipts into FIU Panther Soft accounting system. Prepares deposits of cash, checks, and credit card charges.
  • Functions as the departmental approver for financial processes such as interdepartmental transfers, requisitions, travel requests and expense reports. Functions as the departmental backup approver for payroll and commodity card monthly reconciliations. Serves as departmental approver for certain HR actions.
  • Maintains all grant records and files and coordinates with FIU Department of Research pre and post award in preparation of budgets and other financial data needed for applications and submission process, as well as interim and final reporting requirements during the grant period. Attends grant panels as needed. Works closely with Grant Administrator on these tasks.
  • Provides leadership and guidance to departmental staff and faculty concerning the processing of financial transactions. Raises flags whenever it appears there may be misuse of funds or any other questionable transactions. Provides problem resolution for all financial issues that may arise.
  • Works collaboratively with the senior management team to drive best practices in revenue. Oversees monthly and quarterly reconciliations of all revenue accounts and project budgets.
  • Works closely with the Director in directing the planning and development of the Museum's annual budget, the management of personnel resources, and directing all administrative and financial operations. Represents the unit in committee meetings on matters related to budget and finances and acts as the primary liaison regarding budgetary and operational questions or issues.
  • Manages the Unit's human resource functions including but not limited to: searches, ensuring timely processing of documentation required for hiring, performance evaluations, reclassification, and personnel actions.
  • Provides recommendations for positions to be used in searches required for hiring. Maintains communication with the Director and the HR staff related to matters including promotions, resignations, establishment of positions, payroll transactions, and payroll issues.

Minimum Qualifications

  • Bachelor's degree in business or related field and four (4) years related business or administrative experience, or Master's degree in business or related field and two (2) years related business or administrative experience.

Departmental Requirements

  • Experience in Finance and/or Accounting.
  • Knowledge and experience in Panthersoft Financials.

Desired Qualifications

  • Knowledge of grant management, business planning, and forecasting.
  • Experience in a finance related position with extensive knowledge in budget management and project budgeting.
