The Supervisor of Inpatient Coordinators manages daily work activities of Inpatient Coordinator team members and ensures quality care is provided to our members. The supervisor works to resolve departmental issues and serves as a link between Inpatient Coordinators and upper management. The supervisor is responsible for managing change within the department and is involved in the development and enforcement of departmental policies and procedures.

Job Responsibilities/Duties

  • Oversees daily activities and processes for Inpatient Care Coordinators I, II, III & IV. This includes but is not limited to Monitoring the fax queues, accurate out-of-area checks, and designation of cases. Error-free authorization creation in Essette and IDX, calling for discharge confirmations, discharge planning coordination with the case manager, monitoring and ensuring timely PCP and specialist appointment set up in accordance with regulatory compliance protocols and company policy, monitoring the phone line queues and ensuring excellent customer service to providers and members. Monitoring the letter of agreement processing log, monitors California Children Services (CCS) and timeliness of social worker referrals. Tracking logs for NONMC and Post Stabilization Authorization (PSA). Provider communication memo and letter management. Monitors and assists with the after-hours team schedule and calendar creation. Monitors the creation of hospitalist on-call schedule. Monitors and assists with daily rounds of action item lists.
  • Responsible for producing daily and monthly productivity reports for inpatient coordinators, fax processing, IDX referrals, phone lines, and member touches. Ensures corrections are completed timely for error reports, data integrity, Post Stabilization Authorization (PSA), and discharge assessment reports. Assist with the daily generating assignments of inpatient coordinators. Monitor health plan ADT reports and ensure the timeliness of the information.
  • Participates in the hiring process. Coaching, counseling, and evaluating the performance of direct reports. Training and onboarding new hires.
  • Assists and works with Inpatient Case Management leadership to develop process improvements for the inpatient coordinators.
  • Assists with supervisory audits for inpatient coordinators to ensure compliance with DHCS, DMHC, and health plan regulatory requirements in the discharge assessment transition of care (Appointment set up and discharge planning arrangements) and Post stabilization Authorization (PSA) compliance of triage call intake.
  • Special projects and other duties as assigned by inpatient case management leadership

Qualifications

Minimum Education: Associate Degree of Science in a health care-related field or equivalent education and experience required. Bachelor’s or master’s degree in health administration preferred.

Minimum Experience: Minimum of one (1) year experience in a lead or supervisory position in a health plan HMO/Managed care setting required. Three (3) years of experience in a lead or supervisor position in a health plan or HMO/Managed care setting.
