Job Description: Office Building Property Manager with Hospitality Background
Position Overview:
We are seeking a highly skilled and experienced Office Building Property Manager with a strong background in hospitality to oversee the operations and management of our office condominium building with a homeowner’s association (HOA). As the Property Manager, you will be responsible for ensuring the smooth functioning of the property, maintaining owner & tenant satisfaction, working closely with the HOA to enforce rules and regulations, and implementing strategies to enhance the overall owner & tenant experience. In addition to traditional property management responsibilities, you will also be responsible for overseeing the construction and execution of various planned and unforeseen projects within the building. Your hospitality background will be crucial in providing exceptional service and creating a welcoming and professional environment for owners, tenants, and visitors.
Responsibilities:
Property Operations Management:
- Oversee the day-to-day operations of the office condominium building, ensuring compliance with HOA rules, regulations, and bylaws.
- Coordinate with the HOA board to implement policies, procedures, and guidelines for the efficient functioning of the property.
- Manage and coordinate maintenance, repairs, and renovations to maintain the property's appearance, functionality, and safety.
- Conduct regular inspections of the property to identify and address any maintenance or safety issues promptly.
- Develop and implement efficient systems and processes to enhance property operations and tenant services.
Owner & Tenant Relations and Customer Service:
- Serve as the primary point of contact for owners & tenants, addressing their inquiries, concerns, and requests promptly and professionally.
- Foster positive owner/tenant relationships by actively engaging with owners & tenants, conducting owner/tenant satisfaction surveys, and implementing appropriate measures to address feedback.
- Organize and oversee owner/tenant events, meetings, and communications to enhance the sense of community and promote owner & tenant engagement.
Financial Management:
- Develop and manage the property's operating budget, ensuring cost-effective operations and adherence to financial goals.
- Oversee condominium dues collection, financial reporting, and budget analysis.
- Collaborate with accounting and finance departments to ensure accurate and timely financial reporting.
Vendor and Contractor Management:
- Identify, select, and manage vendors, suppliers, and contractors for property maintenance, repairs, and other services.
- Evaluate vendor performance, negotiate contracts, and ensure compliance with service level agreements.
- Conduct regular vendor assessments and seek opportunities for cost savings and operational efficiencies.
HOA Collaboration:
- Work closely with the HOA board, attending board meetings, providing updates, and collaborating on property-related matters.
- Assist the HOA board in the enforcement of rules, regulations, and bylaws.
- Provide support in organizing and conducting annual HOA meetings and elections.
Planned and unforeseen Project Oversight:
- Collaborate with the HOA board and stakeholders to identify and work on planned and unforeseen projects within the building.
- Develop project timelines, budgets, and scope of work for each beautification project.
- Source and manage contractors, architects, and designers to execute the projects.
- Ensure compliance with building codes, permits, and regulations during the construction phase.
- Conduct regular site visits, inspections, and quality control checks to ensure project progress and adherence to specifications.
Qualifications:
- Preferred Bachelor's degree in Hospitality Management, Business Administration, Real Estate, or a related field (not required).
- Proven experience as a Property Manager or similar role with at least 8 years’ experience, preferably in an office building or commercial property setting.
- Strong background in hospitality, with a demonstrated understanding of customer service principles and tenant satisfaction.
- Knowledge of property management principles, regulations, and best practices.
- Excellent communication and interpersonal skills to effectively interact with tenants, vendors, and other stakeholders.
- Strong organizational and problem-solving abilities.
- Proficiency in property management software and Microsoft Office Suite.
- Familiarity with local property laws, building codes, and regulations.
- Preferable bilingual: English & Spanish.
