JOB TITLE: Office Assistant DEPARTMENT: Maintenance

JOB TYPE: Part-time DIRECT SUPERVISOR: Maintenance Manager

GENERAL FUNCTION: The Maintenance Assistant is responsible for supporting the maintenance area in their daily work including managing incoming work orders, meeting with vendors, product ordering needs, and apartment turnover. The Maintenance Assistant works in the office and on properties with the residents of the properties, maintenance manager, main office, maintenance employees, and the property managers, and must present and conduct themselves in a professional manner at all times. Must also demonstrate fiscal responsibility when making decisions or recommendations and maintain proper accountability of records and equipment.

SPECIFIC DUTIES AND RESPONSIBILITIES:

· Operate computers to enter information in Microsoft Office programs, property maintenance software work orders. Familiarity with Excel and Yardi a plus.

· Communicate with tenants and staff on work order priorities and needs with direction from supervisor

· Ability to work with various vendors and suppliers for ordering maintenance supplies and discussing and developing bids for contracts.

· On daily basis, keep maintenance tracker current. Check that dates of move-outs and move-ins correspond with vacancy report and other information reported.

· Constantly update rent ready board as information becomes available.

· Keep department reports up to date as information comes in.

· Order appliances from various vendors for all properties and follow up to verify deliveries and returns

· Monitor systems such as apartment water battery status portal and report findings to property manager.

· Contact and coordinate with vendors services in area such appliance repair, carpet cleaning, snow removal, lawn maintenance, fire systems,

· Obtain and organize boiler and elevator inspection reports to each property and verify they get posted as per code, and a copy kept at main office.

· Other duties as assigned. Such as assisting maintenance with cleaning or outside property work as needed

MINIMUM REQUIREMENTS:

· Minimum 1-2 years in maintenance area desirable. Apartment experience a plus

· Work in an office environment.

EDUCATION:

· High school diploma or equivalent.

REQUIRED SKILLS AND ABILITIES:

· Computer and software program skills: Microsoft Office plus ability to learn apartment management software.

· Confidence in meeting with vendor and suppliers on maintenance products and topics.

· Time management and organizational skills: Demonstrate a systematic approach to managing priorities, resources and projects.

· Accountability: Demonstrate accountability and responsibility for facilities.

· Communication Skills: Ability to read and comprehend instructions. Ability to listen and ask for clarification when needed. Strong Communication Skills

PHYSICAL REQUIREMENTS:

· Physical ability to lift and carry 30 lbs.

· Physical ability to routinely bend, walk, and sit for extended periods of time.

SPECIAL REQUIREMENTS:

· Valid motor vehicle operator’s license.

· Access to reliable transportation.

· Work is mainly indoor. May be required to go to a property and be outside as needed.

Job Type: Part-time

Pay: $16.00 - $19.00 per hour
