The Problem
Our company is seeking an experienced and analytical Office Manager to join our team and help Manage and oversee all aspects of remote office operations. With more than 200 clients, Secure Plus Financial is facing increasing demands and challenges, and we need a skilled and motivated professional to help us meet these challenges head-on.
The problem is that our company is experiencing exponential growth and we need a capable Office Manager to help us manage the increasing workload. Your Responsibilities:
· Develop SOPs: Create clear and concise Standard Operating Procedures for all departments in the firm, including accounting, tax preparation, client onboarding, client management, sales and marketing, and business development. Ensure that SOPs are up-to-date and are followed by all departments.
· Define KPIs: Develop Key Performance Indicators for each department that accurately measure the performance and efficiency of each department. Ensure that KPIs are aligned with the firm's goals and objectives.
· Monitor Performance: Monitor the performance of each department on an ongoing basis, using KPIs and other metrics. Provide regular feedback to the CEO on departments on their performance and areas for improvement.
· Collaborate with Departments: Collaborate with each department to ensure that SOPs and KPIs are effective and efficient. Ensure that departments are trained on SOPs and KPIs and are following them consistently.
· Document Processes: Document all processes and procedures in each department, including accounting, tax preparation, client management, sales and marketing, client success and business development. Ensure that all processes are well-documented and easily accessible to all departments
· Training: Develop and implement training programs for all departments to ensure that they are properly trained on SOPs and KPIs and are able to follow them consistently. Ensure that training programs are regularly updated to reflect changes in the business.
· Hiring Processes: Manage and improve the firm's hiring processes, including job postings, resume screening, interviewing, and candidate selection. Ensure that hiring processes are efficient, effective, and aligned with the firm's values, Vision and Mission.
· Communication: Work with managers to ensuring that clients are kept informed of relevant information, including updates, news, and important deadlines.
· CRM: Manage the firm's CRM system (Salesforce), developing processes for tracking customer interactions and data and work with managers to ensure proper workflows efficiencies across all departments.
· Client Success Metrics: Develop and track key metrics to measure client success, including client satisfaction, retention rate, referral rate. Also analyze client feedback, and using the feedback to continuously improve the firm's services and processes.
· Data Management: Oversee the firm's data management systems and processes, ensuring data accuracy, security, and accessibility.
· Manage and develop the firm's A/R and A/P processes, ensuring payment accuracy, financial reporting, and record keeping.

Additional Qualifications
- Bachelor's degree in finance, accounting, or a related field
- 5+ years of experience in financial management, with a focus on office management, payroll, and 401K administration
- Strong analytical and problem-solving skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office and experience with financial management software
- Ability to work independently and manage multiple tasks and projects in a fast-paced environment
- Detail-oriented and organized, with a strong commitment to accuracy and quality
- Passion for financial management and a drive to help clients achieve their goals.
