LANDSCAPE CONSTRUCTION COORDINATOR Job at Maldonado Nursery And Landscaping Inc
Summary
Assists in the day to day activities pertaining to the construction coordination, in accordance with company policies, contract documents specifically pertaining to project schedules, budgets, purchasing and operating per MNLs Standard Operating Procedures. Supports all Commercial Construction Branches.
Essential Function
- Responsible for day to day contract and file administration of awarded jobs.
- Upon receipt of contracts, will set up computer data file in a structured environment that organizes all project data. This includes setting up ship-to’s, moving over the estimate folder and added project info to the job tracker.
- Coordinates and transmits all project documents with general contractor and or owner to include but not limited to signed contracts, insurance, change orders, permits, line locates, submittals, closeout materials, and warranty, CCIP enrollment.
- Works with Branch Manager to track all expenses on jobs, ensuring proper entry of time, materials and subcontractors for each.
- Also, will coordinate and assist payroll in transmission of certified payroll documents.
- Assist estimating team with multiple document proposals that require company work history, insurance documents, owner related items and bid bonds. Also assist in final review of these bid documents, including project taxability, prior to sealing of bid envelope.
- Company Wide Commercial qualification packages.
- Keep Minority Status Certifications up to Date.
- Orders all bid and Payment & Performance Bonds.
- Assist the field with Job Safety Analysis and help Safety manager put together Site Safety plans when needed.
- Composes, types, prints and revises materials such as correspondence, contracts, reports, memorandums, various documents and fax cover sheets as required by business.
- Assist in procurement of materials, equipment and subcontractors for construction projects.
- Developing and fostering vendor relationships.
- Communicate with branch managers to resolve purchase order discrepancies.
- Propose improvements to current purchasing system that will improve vendor relations and lower cost of services.
- This position must maintain effective communications with all team members within the office to maintain a smooth, informed and consistent atmosphere with regards to office functions.
- Maintains confidentiality regarding all business materials and matters discussed.
- Must uphold company policies, procedures and company core values at all times

Knowledge/Skills
- Associates degree (A.A.) or equivalent from two-year College or technical school; or five year of related experience and/or training; or equivalent combination of education and experience.
- Accomplished computer skills in Microsoft Word, Excel, Power Point, Outlook, Publisher as well as dictation, minutes and previous travel/hotel/meeting arrangements. Also has ability to operate phone systems, copiers, printers and fax machines.
- Ability to write routine reports and correspondence. Ability to speak effectively to clients or other team members. Exceptional proofreading skills are imperative.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
- Have the ability to define problems, collect data, establish facts, and draw valid conclusions
