INTRODUCTION:
The Department of Facilities Planning and Management in the Division of Administrative Affairs at the University of Wisconsin-Whitewater seeks an Inventory Control Coordinator (FP022).
JOB DUTIES:
The Inventory Control Coordinator is responsible for operations in Central Stores, Central Receiving, and the Surplus Property Program. This position coordinates all campus material pickups and is responsible for performing all functions of shipping, receiving and freight activities within the Business Support Services Unit (Surplus Property, Stores, Receiving & Mail Center) as required. The Inventory Control Coordinator must be able to communicate and collaborate effectively with others and also be able to work independently in performing the described duties. The work hours for the position are 7:00 a.m. to 3:30 p.m., Monday through Friday.
QUALIFICATIONS:
Minimum Qualifications:
- Previous experience with receiving, inventory, mail services, surplus disposal or related duties
- A combination of equivalent experience and/or education may be considered
- A valid Driver’s License and minimum two years licensed driving experience not including instructional experience
- Previous experience with data entry and using database systems
- Previous experience using Microsoft Office (Word, Excel, Outlook)
- Ability to perform heavy lifting up to 75 lbs.
Physical Demands:
- Ability to spend significant time lifting, pushing, or carrying cartons, packages, office and classroom furniture, or other items
- Ability to stand for long periods and stoop, reach, and lift
- Ability to climb and stand on a ladder
- Ability to sit for long periods and work at a desktop computer
- Ability to operate material handling equipment (including hand truck, manual pallet jack, powered pallet truck, and forklift)

Responsibilities:
30% A. Central Stores
A 1. Enter incoming orders in inventory management software, identify recipients, and disburse to end users or stock in warehouse as appropriate.
A2. Assist walk-in customers with locating needed parts and supplies in warehouse and disburse to appropriate billing code in inventory management software.
A3. Process material requests submitted online and through inventory management software, pick/pack orders, and prepare them for delivery on campus.
A4. Maintain accurate inventory data and verify by performing physical counts of all parts annually; record counts in inventory management software.
A5. Coordinate handling of used shipping pallets and packing materials to be reused, recycled, or disposed of and organize in designated staging areas.
A6. Serve as campus liaison for questions concerning parts/supply needs and inventory availability; communicate requests and anticipated needs to the Inventory Control Supervisor.
30% B. Central Receiving
B1. Receive incoming parcel and freight shipments at the loading dock area, checking for damages, shortages, and accuracy.
B2. Assist campus departments in taking delivery of shipments at other campus locations as needed.
B3. Assist the Motor Vehicle Operator – Light with the preparation of shipments for delivery on campus by sorting packages, routing deliveries using package tracking software, completing delivery logs, and loading packages onto carts.
B4. Deliver incoming shipments for staff located in adjacent offices and coordinate pickup of shipments at Central Receiving by recipients as needed; document all deliveries and pickups using package tracking software.
B5. Tender outbound shipments to the appropriate parcel and freight carriers.
B6. Serve as campus liaison for shipping-related questions and communicate with the Inventory Control Coordinator/Shipping and Mail Associate and parcel and freight carriers as needed.
B7. Serve as campus liaison for questions related to campus deliveries; coordinate with recipients and the Motor Vehicle Operator – Light to communicate delivery instructions and schedule.
30% C. Surplus Property Program
C1. Receive surplus disposal declarations, determine priority, and coordinate with the Motor Vehicle Operator – Light and other staff to ensure timely pickup and delivery of items to the surplus receiving area.
C2. Transfer surplus items likely to be of further use on campus to Central Stores inventory to ensure visibility of available items to campus departments; respond to inquiries into available surplus items from campus departments, coordinate with the Motor Vehicle Operator – Light for on-campus delivery of items claimed for redeployment, and retain records of items needed by departments.
C3. Coordinate disposal of fixed assets with the Financial Services asset manager.
C4. Coordinate storage, reuse/redeployment on campus, sale, salvage sale, or transfer to landfill of surplus property with attention to minimizing handling, transportation, disposal, and storage costs.
C5. Receive used lamps and batteries from campus departments, organize in designated disposal staging areas, coordinate transfer to the appropriate recycling or disposal facility, and complete required record keeping.
C6. Assist the Inventory Control Supervisor with preparation of listings for surplus property to be auctioned; respond to inquiries from potential bidders into items in active auctions and coordinate in-person inspections as requested; coordinate pickup by winning bidders of items sold at auction.
C7. Complete all required audit trail record keeping and tracking reports of surplus property.
C8. Serve as campus liaison for questions related to UW-W and State of Wisconsin surplus property management and disposal policies and procedures; ensure handling of surplus property is in accordance with policies and procedures.
10% D. Other Duties
D1. Train and direct student warehouse assistants in material handling and other related operations tasks as needed.
D2. Operate all tools, equipment, and delivery vehicles assigned to the area safely and maintain in a safe working condition; report any needed repairs to the Inventory Control Supervisor.
D3. Maintain an orderly work area for safe use by all staff and delivery personnel and to promote an efficient flow of incoming and outgoing materials; maintain exterior work areas in a clean and safe fashion including removal of snow, ice, and debris.
D4. Provide backup to other positions within Facilities Planning and Management, including, but not limited to, Campus snow removal.
D5. Perform other duties as assigned.
D6. Comply with all applicable safety regulations and participate and complete safety and certification training as necessary or instructed.

COMPENSATION AND BENEFITS:
Well-qualified candidates can expect a minimum starting wage of $16.90/hr.
