POSITION TITLE: Food & Beverage Administrative Asst JOBCODE: 2232100
DEPARTMENT: Food and Beverage
REPORTS TO: Food and Beverage Manager
POSITION SUMMARY:
This position requires a person mastered in office skills, who has knowledge of food and beverage operations and has developed a pleasing personality and good judgment. Must be able to lead the food and beverage team as directed by the manager, take initiative to make decisions, skillfully compose correspondence and know when to follow through independently without direct supervision.
TASKS:
- Arrange appointments for Food and Beverage Manager
- Responsible for incoming/outgoing correspondence/emails.
- Handle outgoing calls and direct incoming calls appropriately.
- Meet callers and business associates in the office, take notes and minutes at various meetings.
- Supply requisitions and keep record of office supplies.
- Track all maintenance requests, prepare and track check requests for invoices.
- Update SOPs for F & B.
- Process all purchase orders.
- Maintain Health Department records and renewals of food service permits.
- Maintain spreadsheet on all F & B invoices and provide Management with weekly financials.
- Maintain all manual and database files on current employees.
- Maintain payroll records, timesheets, as well as prepare and track payroll adjustments, payroll distribution, and expense reports.
- Track attendance for F&B employees.
- Daily communication with Human Resources (HR) to maintain and track new hires, PTO, term PANs, procedures, and benefit issues.
- Assist in training team members and assigning daily tasks as directed by manager.
- Provide feedback on employee performance to manager.
- Assist in coaching and corrective actions as directed by manager.
- Disseminate department information from manager to the team, including but not limited to, schedules, procedure changes, casino events and promotions and HR related communications.
- Computer and office equipment support to the F&B department.
- Cover various food and beverage shifts on an emergency basis.
- Assist with banquet functions.
- Assist managers and supervisors in daily tasks.
- Other tasks as requested by management.
EDUCATION/SKILLS/EXPERIENCE REQUIREMENT: High school graduate or equivalent. Able to operate various office machines and be familiar with Point of Sales systems. Must be computer literate in Windows applications. Strong verbal and written communication, math skills and excellent organizational skills. Minimum of one year experience working in a hospitality or food and beverage position. Supervisory experience a plus.
LICENSES/CERTIFICATIONS/SPECIAL REQUIREMENTS: Must be at least 21 years old, have a valid US Virgin Islands Food Handler’s card; and must be able to obtain a US Virgin Islands Gaming License.
PHYSICAL ACTIVITIES: The following activities are normally required to perform these tasks: stand, walk, bend, reach, read, write, eye to hand coordination, and depth perception. Ability to lift a minimum of 25 lbs.
WORK CONDITIONS/HAZARDS: Neck and eye strain. Stress related issues. When on the casino floor, the noise level may increase to loud. Work schedule is flexible and may include holidays.
