ASSISTANT PROGRAM COORDINATOR

POSITION DESCRIPTION

Position Title: Assistant Program Coordinator-Southern California
Hours: 1 FTE Hourly; M-F Regular
Office Location: Remote/Sacred Circles, Whittier CA
Reports To: Senior Manager, Healing Generations Initiatives

The National Compadres Network (NCN) is a 501 c-3 non-profit organization founded in 1988. NCN is a national voice for racial equity and racial healing that is culturally rooted; we provide training and technical assistance that impacts systems in an effort to create change that is transformational.

Under the direction of the Senior Manager, Healing Generations Initiatives, the Assistant Program Coordinator position will support the efforts focused on the area of NCN’s Education & Family Initiatives and Healing Generations Initiatives consistent with NCN organizational mission, values and goals in Southern California.

Essential Duties and Responsibilities:
Coordination:

  • Organize, document and participate in team meetings;
  • Document and follow up on important actions and decisions from meetings;
  • Provide administrative support and complete project tasks as needed;
  • Ensure project(s) adhere to frameworks and all documentation is maintained appropriately for each project;
  • Gather and prepare data needed for required funding source reports;
  • Provide active feedback to the team to ensure delivery of overall results according to goals and accountability framework;
  • Assist in organizing and monitoring project deliverables and timelines;
  • Support the execution of activities related to stated project goals and outcomes;
  • Foster and maintain positive relationships with a wide range of stakeholders;
  • Plan and coordinate all activities to successfully execute meetings and conferences;
  • Facilitate the collection of evaluations and submit these evaluations as required;
  • Submit project event information to the NCN MIS database as events occur;
  • Oversee documentation, support in the development and maintenance of processes and procedures that support the project;
  • Oversee program and training calendar of activities and meetings;
  • Support the development of an Outreach & Recruitment plan to engage affiliates;
  • Support the development, use and maintenance of social media to engage affiliates;
  • Support special projects and events as assigned;
  • Support in the development of on-line resources to support the professional development of affiliates (webinars, culturally rooted research resources, field relevant professional development) as needed;
  • Establish quarterly on-line engagement opportunities to share best practices as needed;
  • Communicate and ensure the implementation of NCN policies and practices.

Training and Technical Assistance (TTA):

  • Assist with organizing NCN trainings, conferences, and events;
  • Arrive at location (in-person or on-line) where services will be provided with sufficient time to set-up and prepare the space for the on-time beginning and end of event;
  • Monitor/support on-line platform functions;
  • Provide follow-up technical assistance, as needed;
  • Assist in the implementation of workshops and activities as needed;
  • Participate and contribute to TTA team meetings;
  • Provide curriculum development support as needed;
  • Travel to scheduled training site as needed;
  • Train/Present on specialized topics as requested.

General

  • Ensure the historical practices and legacy of NCN are maintained and preserved;
  • Request, obtain and provide ongoing updates from NCN staff on projects in your portfolio, to ensure NCN senior administrators are abreast of critical information;
  • Provide weekly updates on work status and timeline for completion of identified and agreed upon tasks;
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
Bachelor’s degree and/or three years of work experience and demonstrated success in a coordination role.

LICENSES, CERTIFICATES, DEGREES, CREDENTIALS:
Possession of a valid driver’s license or the ability to obtain by date of hire.

  • Demonstrated ability to read, understand and take directions/instructions from many sources and respond in a positive and professional manner;
  • Verified experience in completing assignments in a timely and accurate manner
  • Must possess excellent written communication skills including proofreading, editing, grammar, punctuation and spelling including close attention to detail;
  • Ability to compose professional correspondence, documents, reports, etc.
  • Must be proficient in the use of computer technology to perform job functions and proven ability to use standard word processing, databases, spreadsheets, internet, email, electronic calendars and related computer software packages;
  • Must possess excellent oral, interpersonal, and presentation skills;
  • Ability to communicate in a clear, concise and concrete way in front of an audience
  • Demonstrated ability to establish rapport with an audience and possess audience assessment skills;
  • Ability to produce visual elements e.g., slides that are brief, clear and visually effective;
  • Ability to work as part of the team, lead when appropriate, and accept feedback;
  • Exhibit professional and personal qualities necessary for establishing and maintaining effective and cooperative working relationships;
  • Proven ability to work with varied working styles and personalities and work cooperatively within a team environment;
  • Ability to maintain confidentiality and use discretion when handling sensitive matters;
  • Experience with working with underserved populations;
  • Must be dependable, possess a positive attitude and a proven record of good attendance.

Preferred Qualifications:

  • Productivity software proficient (i.e., Google Suite, Adobe, Microsoft Office);
  • Skilled in virtual conference platforms and planning software (i.e., Zoom, Trello);
  • Familiar with La Cultura Cura philosophy;
  • Bilingual/Biliterate (English/Spanish);
  • Non-profit organization experience.

Special Conditions:

  • Must be willing to travel and attend annual in-person staff meeting and training programs off-site for occasional professional development;
  • Ability to work occasional holidays and adjust working hours to meet special job duties;
  • Must have a valid driver's license, safe driving history, and access to a vehicle for business related travel and/or the completion of position related duties, as needed;
  • Remote site positions are expected to have reliable at home internet connection and be on-line and available during traditional 8-5 pm Pacific Standard Time business hours;
  • Provide a minimum of one in office workday per month at the Sacred Circles, Whittier

CA office site subject to more frequent workday visits on an as needed basis;

  • Early morning and/or early evening availability for on-line training support required;
  • Proof of fully vaccinated Covid-19 status required due to training role status; subject to review for those who cannot be vaccinated for medical or other reasons;

Salary Range: $50,000 -$70,000
