POSITION OBJECTIVE


Relieves managers of clerical work and minor administrative and business detail.

ESSENTIAL JOB FUNCTIONS


  • Reads and routes incoming mail and prepares outgoing mail.
  • Composes and types routine correspondence, reports or contracts (to include banquet event orders, sales contracts, business proposals etc.) based on organizational practice, policies and procedures at the direction of the sales manager.
  • Maintains a filing system and files resort records, correspondence and other miscellaneous items.
  • Answers telephone and gives information to callers or routes call to appropriate employee and places outgoing calls.
  • Greets visitors, ascertains nature of business and conducts visitors to employer or appropriate person.
  • Answers/forwards guest requests, complaints or questions in a courteous and timely manner.
  • Schedules appointments, travel arrangements, reservations and conference rooms for supervisor.
  • Compiles and types statistical reports.
  • Attends staff and committee meetings when directed, excluding the weekly standups, ops or executive meetings..
  • Makes copies of printed materials and keeps inventory stocked of all office supplies and printed materials and brochures.
  • Assists other office staff during periods of absence and down time.
  • Responds quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction.
  • Provides a professional image at all times through appearance and dress.
  • Follows company policies and procedures.
  • Note: Other duties as assigned.


EDUCATION/EXPERIENCE


  • Candidate must be 18 years of age or older. High School Diploma or equivalent required
  • Minimum of three-six months Admin experience
  • Experience with Delphi, preferred


BASIC REQUIRED SKILLS


  • Ability to communicate effectively with internal and external customers exercising patience, tact and diplomacy
  • Proficient with Microsoft Word and Excel. Experienced with Delphi a plus but not required.
  • Analytical approach to problem solving
  • Use effective listening skills
  • Manage group or interpersonal conflict situation effectively
  • Manage time well, correctly prioritizing tasks
  • Participate as a team player with all departments
  • Provide constructive feedback to all departments
  • Be a leader and a role model to all team members
  • Must possess proficient computational ability
  • Must possess proficient computer skills, including, but not limited to, Microsoft Word, Outlook and Excel, as well as internet
  • Math skills required
  • Must be able to speak, read, write and understand the primary language(s) used in the workplace
  • Requires good communication skills, both verbal and written
  • Must be able to sit at a desk for up to 8 hours per day. Walking and standing may be required. Length of time of these tasks may vary from day to day and task to task.
  • Must be able to lift up to 15 lbs. on a regular and continuing basis
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, fax/scan machines, photocopiers, dolly and other office equipment as needed
