Administrative Assistant Job at Scurry County
Job Summary:
Assist the EMS Director, Quality Assurance Officer, Infection Control officer, and other EMS Staff in planning and administrative tasks. Will assist in the day-to-day functions of the department including processing and preparation of billing reports, compliance, HIPAA compliance, inventory, payrolls, including related reports, and maintaining EMS financials, invoices and accounting.
Essential Job Function:
· Interprets and explains the County’s Personnel policies, procedures, rules, and regulations.
· Assists in patient follow-ups, contracts, and compliance documents.
· Ensures all state and federal requirements are met.
· Ability to communicate effectively with County employees, Department Heads, Elected Officials, and Taxpayers.
· Maintain personnel files and other records including those related to new hires, terminations, status changes, training, and licenses.
· Managing Accounts Receivables: receiving payments, issuing receipts, and accurately posting daily cash collections
Responsibilities:
The EMS Administrative Assistance will perform a wide range of bookkeeping and administrative functions to ensure the efficient operations of the EMS service including:
· Work well with the County Court House staff such as the Auditor and Treasurer Office.
· Answering the phones
· Acquire knowledge of county budget, expense, asset and revenue accounts for EMS
· Daily tracking of EMS expenses, receipting of all direct deposit transactions, and processing billing reports.
· Supports the relationship between Scurry County and the general public by demonstrating courteous and cooperative behavior when interacting with taxpayers, visitors, and County staff; maintains confidentiality of work-related issues and County information; performs other duties as required or assigned.
- Participates and performs work related to special projects assigned by the Scurry County EMS Director
· Employees may at any time be required to work in order to provide for the safety and well-being of the general public, including the delivery and restoration of vital services, in the event of an emergency
· Performing other duties as assigned
Education and/or Experience:
3+ years’ experience in human resources, payroll processing, or office management. Bachelor’s degree in related field preferred. High school diploma with five years clerical experience; some college with three years clerical experience; college degree with one-year clerical experience.
Required Knowledge, Skills, and Abilities:
- Scurry County organization, operations, policies, and procedures.
- Record keeping and file maintenance principles and procedures.
- Ability to maintain a professional demeanor when dealing with the public.
- Good oral and written communication skills
- Strong multi-tasking and organization abilities with meticulous attention to detail.
- Ability to prioritize work and meet service standards and deadlines
- Ability to learn new tasks and perform them in an efficient manner.
- Ability to operate various types of equipment – standard office equipment, computer, and intermediate knowledge of Microsoft Office software.
- Ability to follow instructions and adhere to prescribed routines and practices
- Ability to work at a computer for extended periods of time.
- Handling situations requiring diplomacy, fairness, firmness, and sound judgment.
Physical Requirements
Must be able to sit or stand for the majority of the workday. Lift and move 50 pounds. Ability to stand, climb ladders, step stool, bend, kneel, reach or squat occasionally for extended lengths of time.
Working Conditions
Work both traditional and non-traditional business work hours, including but not limited to; evenings, weekends, and holidays.
Certificates and Licenses Required
· Valid Texas Driver’s License
· Must be Bondable
